How to Apply as a Vendor for Fil-Am Spring Fest 2025
📅 Event Date: May 31, 2025 (Saturday)
📍 Location: Fair Oaks Mall, Fairfax, Virginia (Parking Lot – Infront of Macy’s Furniture Entrance)
Fil-Am Spring Fest 2025 is now accepting vendor applications for retail vendors, food vendors, and nonprofit organizations. Follow the steps below to apply and secure your spot at this exciting community event.
STEP 1: Review Vendor Requirements
Before applying, make sure you have the necessary details and documents ready:
✔ Business name & type of products/services
✔ Contact information
✔ Product photos
✔ Required certifications/licenses (View Required Documents)
Step 2: Submit Your Application
📌 The fastest way to apply is online! Complete your application in just a few minutes through our vendor portal below.
✔ Prefer email submission? Send your completed application and required documents to [email protected].
STEP 3: Application Review & Confirmation
✔ The Event Team will review your application and notify you of your status via email within 5-7 business days.
✔ If additional information is needed, we will reach out for clarification.
STEP 4: Approval, Vendor Agreement and Payment
✔ If approved, you will receive an email with:
- Vendor Agreement Contract – Must be signed and submitted.
- Payment Instructions – Vendor fees must be paid by the specified deadline.
- Marketing Materials Submission – Provide your business logo and high-resolution product photos for promotional use.
📌 Note: Your vendor space is not secured until we receive the signed agreement and payment.
STEP 5: Submit Additional Required Documents (If Applicable)
📌 All Vendors Must Submit:
- ✔ Signed Vendor Agreement – Required to secure your space.
- ✔ High-resolution business logo and product photos – Used for social media promotions and event marketing.
- ✔ Any business-specific certifications or licenses (View Required Documents).
📌 Additional Requirements for Food Vendors (if applicable):
- ✔ Certificate of Insurance (COI) – General Liability Insurance listing Filipino-American Fellowship for Empowerment, Service and Transformation Incorporated as an Additional Insured.
- ✔ Fairfax County Temporary Food Establishment Permit (TFEP) – Required for food vendors preparing food on-site.
📌 Submission Deadline:
All vendors must submit their required documents within the timeline stated in the Vendor Agreement.
Food vendors must submit all required documents at least 10 days before the event to confirm participation. Failure to comply may result in disqualification.
STEP 6: Get Ready for the Event!
✔ Approved vendors will receive detailed setup instructions before the event.
✔ Vendor orientation details will be shared via email.
